Customer Onboarding & Enablement Guide

This is a short, opinionated checklist for new Glyphic customers. For the full reference, see the Glyphic Admin Onboarding Guide and Glyphic User Onboarding Guide.

1. Connect your CRM

Salesforce

  • Go to Settings → Organizational → CRM data sync and connect Salesforce.
  • Glyphic syncs notes, tasks, and Custom Insights to standard objects (Contact, Account, Opportunity) and custom objects.
  • For required permissions and field-level security, see Salesforce integration.

HubSpot

  • Go to Settings → Organizational → CRM data sync and connect HubSpot.
  • Emails logged in HubSpot are read automatically — no separate email connection needed for that data path.

2. Decide what syncs to the CRM

From Settings → Organizational → CRM data sync, click the gear icon to open CRM Preferences and choose:

  • Sync notes / summaries. Push the AI summary to the matched CRM record after every call.
  • Sync tasks. Action items become CRM tasks owned by the rep on the call. See Task Sync.
  • Auto-create contacts. Glyphic creates Contacts (or Leads, on Salesforce) for unknown call participants.
  • Sync Custom Insights. Map fields like Budget, Decision Maker, Pain Points, or your full qualification framework. Per-field sync behavior: overwrite, append, update-if-empty, or manual review.

Recommended: start by syncing notes and tasks only. Add Custom Insight sync once you've reviewed a few weeks of extracted values and you're confident in the prompts.

3. Connect your calendar (each user)

  1. Go to Settings → Personal → Calendar integration.
  2. Connect Google Calendar or Microsoft Outlook Calendar.
  3. Click the gear icon to set automatic recording preferences.

The Glyphic Copilot joins meetings about two minutes before the scheduled start time, based on the user's recording preferences and any organization-level locks.

5. Configure privacy and consent

  • Recording announcements — verbal and chat, both configurable per organization.
  • Excluded domains — for clients or sensitive contacts where Glyphic should never auto-record. Note: adding an excluded domain permanently deletes existing call data for that domain. See Domain Settings: Internal vs Excluded Domains.
  • Mark calls as private to restrict visibility to attendees.

6. Other recording paths

  • Impromptu meetings not on the calendar: Schedule → Record a Meeting, paste the meeting link, launch the bot.
  • Manual uploads: upload an audio or video file directly. Add participant names and emails so Glyphic can attribute the call correctly. See How can I manually upload a call?

Setup checklist

  • CRM connected and sync preferences configured.
  • Each user has connected their calendar and set recording preferences.
  • Recording behavior decided at the organization level (external vs. internal, private defaults).
  • Internal and excluded domains configured.
  • Glyphic Copilot name set if you want to override the default.
  • Consent / announcement settings configured for any regulatory needs.
  • A test call has been processed end-to-end and the outputs reviewed.

Recommended first weeks

Spend the first few days reviewing real call outputs — summaries, Custom Insight values, suggested CRM updates — before enabling full CRM sync at scale. Adjust Custom Insight prompts and sync rules where needed.
